Hall Hire "Frequently Asked Questions"

What are the Covid-19 restrictions?
Hall use at all times will need to conform to the current Queensland Govt regulations and guidelines, as interpreted by the Eudlo Hall and Grounds Management Committee. First, consult with the bookings officer.
How much is it to hire the Hall?
Casual hire: $30 per hour, minimum two hours hire. Regular hire (at least monthly): $25 per hour with a minimum of 2 hours per hire. Major events: (subject to negotiation): weddings generally $600.
How many people can the Hall accommodate?
Padded banquet chairs are available for 125 people, plus there are 2 church pews which seat up to 8 additional people. The hall will seat up to 160 persons. There are a minimum of 8 tables, each able to seat 8 people.
Can I inspect the Hall?
Yes, please email or phone the bookings officer to make a time. Use the contact details at the bottom of this list.
When must the hire fee be paid?
Hire payment must be made in advance to secure the booking. Regular hirers pay for the first three time slots to secure a recurring booking. Subsequent payments must be made in advance for one or more time slots. Single event hirers pay 100% of the hire fee to secure the booking.
Is there a cancellation fee?
For regular bookings, 7 days’ notice of cancellation of a booking is required. Cancellation of a single event booking will incur forfeiture of part or all of the hire fee as follows: within 30 days 20%; within 14 days 50%.
When must the bond be paid and how much?
All hirers must pay the bond no less than seven days before the start of hire, otherwise the booking is forfeited and the cancellation fee applies (see above). The bond is negotiable but generally will be no less then the cost of the hire, or for recurrent hire the cost of four weeks hire. Charity and NFP events may receive special consideration by negotiation with the bookings officer.
What conditions apply to full refund of the bond?
The bond is refunded in full at the end of hire, providing the premises is returned undamaged and clean, and there is no breach of the conditions of hire, including no excessive noise. If there are cleaning or damage repair costs, these will be deducted from the bond refund.
How can I pay and receive my bond refund?
Direct deposit (EFTPOS), or by using this website through a PayPal account or credit card. Bond refunds will be made by EFTPOS or directly to the credit card or PayPal account as directed.
Is alcohol allowed?
Yes, inside the premises. You must comply with liquor laws in all respects. You as hirer are responsible for all consequences of the use of alcohol. Sale of alcohol is not permitted.
Is smoking permitted?
The Hall is a non-smoking venue. Butts are not to be discarded around the entrances.
Is there parking?
There is no onsite parking. You may park in the street and at the carpark on Mooloolah Road outside the school.
Does the Hall have disabled access?
Yes, there is a ramp from the street into the side door, and a path from the ramp to the toilets (outside). The toilets are not specifically adapted for disabled access.
Is there a PA system for hire? We have a piano!
We have a small amplifier and microphone that may suit your needs. Incidentally, there is an upright piano on the stage, although we cannot guarantee that it will be tuned.
Are there noise restrictions?
The Hall is in a residential area, and we respect our neighbours. Any sort of amplified noise (music players, speakers, drums, in fact any kind of sound amplification, mechanical or electrical) MUST cease at 10pm and hire ceases no later than midnight. Please keep noise levels to a minimum when leaving the hall to return to vehicles. The bond will be forfeited if the noise curfew is breached.
Are decorations permitted?
Yes, however only by using existing hooks and screws. No staple guns or use of additional fixings is permitted. Nothing is to be attached to the fans. Damage costs will be deducted from the bond refund. If more costly damage occurs, other compensation may be sought.
How do I get the key?
The key is held in a key safe. We will supply the code to the safe at least 24 hours before the start of your hire. Regular hirers will be advised of any changes to the code as they occur. In some cases we may supply a key to regular hirers on payment of a deposit of $50.
What about insurance?
All hirers must hold a current suitable Public Liability Insurance policy for $20 million. We require a copy of the policy, the schedule to the policy and a certificate of currency no less than 14 days before the start of your hire. Regular hirers must supply evidence of renewal of their policy before expiry. Private hirers for a one-off private function may secure insurance via our insurer for a $50 fee by arrangement with our bookings officer. Your household policy or business policy will not be sufficient unless it specifically refers to the specific activity you are conducting in the Hall. We retain the right to decide whether your cover is satisfactory.
Is there any restriction on the type of function?
We do not hire for 18th or 21st birthday parties, bucks’ or hens’ nights.
Is there any charge for use of tables and chairs?
No, however you must ensure they are kept clean and returned to their storage places at the end of hire.
Are plates and glasses provided?
Full place settings including dinner plates, water and wine glasses, bread and butter plates, tea cups and saucers and cutlery are available at $4 per setting, payable at the time of booking. If not booked, they can be added to your hire no later than 7 days before the function date. Eight white linen tablecloths are available for hire at $10 per cloth, including laundering.
Is catering available?
No, we only hire the space. No deep frying or wok cooking is permitted in the kitchen.
Can I cook in the kitchen?
Yes, however bear in mind our water supply is tankwater only, and that there is no dishwasher. No wok cooking or deep frying is permitted. The kitchen including stove, fridge, benches and floor must be thoroughly cleaned and all rubbish removed.
What are the cleaning arrangements?
You are required to clean the hall and kitchen (if used) thoroughly including mopping floors and removing all rubbish to the bins supplied outside. If the bins are insufficient, you must remove all excess rubbish. All decorations must be removed without damage. Toilets must be left clean and bins emptied..

Filling in the dates and times, please note:
For the purpose of scheduling we require the start date and time and the finish date and time of the single event OR THE FIRST of a set of recurring events. The times must include the full period of occupancy of the hall, including set up and taking down. Please consult the bookings officer if other access to the hall is required for preparing for your event.

Please use the calculator to the right of this form or your own method to estimate the cost of the Hall hire!
This estimate is a simple calculation of the number of half hour intervals times the cost per half hour of hire, which is $12.50 for recurring hire and $15.00 for one-off hire. However there are minimum charges for each, that is, 1.5 hours or $37.50 for recurring hire, and 2 hours or $60 for one-off hire. Other considerations including the type and purpose of the hire will be discussed between you and the bookings officer before an actual cost is established and an invoice issued. ________________________________________________________________________________
Conditions of Hire



All hirers must agree to the third item above and to either the first (one-off hire) or the second (recurring hire). Make your choice.
Possible suspended use of venue (for regular hirers):
EHGA may need to suspend use of the hall for a particular session(s), in which case the Bookings Officer will give the regular hirer at least 14 days' notice.
The basic hire cost includes:
The use of the venue floor space, toilets, chairs, tables and kitchen facilities and basic equipment (refer to the FAQ)
The basic hire cost does not include:
Table settings that are available for hire but this needs to be arranged with the bookings officer (refer to the FAQ).
Your bond:
Will be refunded promptly after your hire to your bank account, paypal account or credit card. However, a full refund is subject to fulfilment of the hirers responsibilities outlined in the document "Additional Conditions of Hire".
Public Liability Insurance (you will need it):
You must provide and maintain Public Liability Insurance of $20 mil and provide proof of its existence and suitability 14 days prior to initial use of the venue. EHGA can assist with short term insurance cover. More details in the FAQ and in the document "Additional Conditions of Hall Hire" and through discussion with the bookings officer.
Incident Report Form (read and download):
If an injury or damage occurs during your time of hire, you must complete the Incident Report Form provided on this webpage and return it to the Bookings Officer immediately at the end of the relevant hire session.
Fire Safety Instructions and Evacuation Plan (read and download):
You must acquaint yourself with both of these documents (available on this webpage) prior to the start of hire.
Additional Conditions of Hall Hire (read and download):
There are other specific conditions of hire regarding noise, protection and use of the premises, and final clean up in the document "Additional Conditions of Hall Hire" (available on this webpage) that you must understand and agree to. That document also outlines the obligations of EHGA in making the venue available for hire.
